Is this the right level?

  • The last reconciliation was months ago and the bank balance in QuickBooks is fiction.
  • A bookkeeper or controller left and nobody knows what they were doing.
  • Your CPA extended the return because the books were not ready.
  • You are about to raise money, borrow, or sell, and the numbers have to hold up to someone else's review.

Bookkeeper, controller or CFO: a plain guide

How onboarding runs

Week 1

Review and quote

Read-only access to the file and the bank. A written list of what is wrong and a fixed price.

Weeks 2 to 6

Cleanup

Month by month, oldest first, with a log of every change so your CPA can follow it.

Handoff

Monthly bookkeeping starts

The file is current. Weekly coding and the monthly close take over so it never falls behind again.

Questions

How long does a QuickBooks cleanup take?

One to two weeks if the books are current and need review; three to six weeks for three to twelve months behind; six to ten weeks for multi-year or multi-entity files. We quote the timeline with the price.

How much does catch-up bookkeeping cost?

From $500. Usually one to six times the monthly bookkeeping fee, depending on how far behind and how messy. The quote is fixed before we start; see the table on this page.

Do I have to switch to monthly bookkeeping after?

No, but most clients do, because a cleaned file falls behind again within a quarter without a weekly process. We will quote both.

Will my CPA be able to follow what you changed?

Yes. Every change is logged, opening balances are tied to the last filed return, and we will talk to your CPA directly.

Can you clean up Xero, or move me between systems?

Both. We work in Xero and QuickBooks Online and have migrated clients between them, and from Wave into QuickBooks.
